News Administration Manager/Executive Assistant to the Editor

We are looking for an organized, resourceful problem solver to help manage administrative needs in the Tampa Bay Times’ fast-paced newsroom as well as serve as executive assistant to the editor of the Times. This job combines supervision of the newsroom support staff, handling of special projects and initiatives, working cross-departmentally to address newsroom concerns and providing administrative support to the editor.
   Previous experience in administrative support, including calendar and scheduling, Microsoft Office, travel, project management and event planning, as well as strong communication skills are required. Some supervisory experience is preferred, and previous experience in journalism is helpful. An appreciation of the newsroom’s work and a desire to help our journalists is important for success.
   The news administration manager will:
  • Supervise and schedule editorial assistants and clerks who perform varied support tasks, including phone contact with the public. Will be called upon at times to deal with inquiries from the public, solve problems for readers and take complaints from readers.
  • Represent the newsroom with the IT department, developing relationships with IT leaders, working with them to resolve newsroom computer system needs, as well as communicating IT policies and decisions to the newsroom.
  • Work with the finance department on expenses and billing issues. Analyze expenses and identify areas of concern.
  • Process newsroom personnel actions such as new hires and coordinate relocations under supervision of the Human Resources department.
  • Work with newsroom vendors and businesses we contract with to ensure that we are meeting our obligations and troubleshoot issues that arise. Supervise the newsroom archivist.
  • Provide administrative assistance to the editor, working on projects as assigned (these could include coordinating contest entries, public events, staff events), and clerical support.
